Victory Packaging
Victory Packaging is a full–service packaging solutions company that specializes in the design, delivery, storage and management of customized packaging supplies for clients throughout North America. The company operates 80 distribution centers and a fleet of 350 vehicles that make product deliveries to major US markets as well as regions of Canada and Mexico. James Martinez, Director of Safety and Risk Management for Victory Packaging, oversees the company’s compliance with OSHA, DOT and environmental regulations. He is also responsible for securing all primary lines of insurance for the company. His staff tracks compliance data on 1800 OSHA regulated employees, including 250 drivers.
The Challenge
In the past, Victory Packaging’s compliance efforts were driven by a 10,000 cell spreadsheet containing vast driver qualifications data. The data collection process was labor–intensive, and all records were kept on paper. “Our concern was data gathering,” Martinez recalls. “We didn’t have a tool in place to ensure that we were tracking and managing the right data.” The company also sought new ways to incorporate elements of the Paper Reduction Act in compliance recordkeeping.
The Solution
Victory Packaging considered developing their own system to track DOT driver qualification requirements and driver training data electronically, but they discovered that TrueNorth could provide all of the compliance tracking and reporting elements they needed at a fraction of the development effort and cost with no increase in staffing.
The Results
Today, Victory Packaging’s distribution locations fax driver applications, medical examiner’s certificates, road tests, certifications of violations and annual reviews directly to TrueNorth. Other documents such as past employment verifications and MVRs are electronically sent to TrueNorth by Victory Packaging’s third party vendor without any conversion to paper. Data from all sources is verified and entered into the database where it is available on demand and via automated reports.
“The biggest benefit of working with TrueNorth is greater efficiency,” says Martinez. “They have streamlined our driver hiring process from four days down to 24 hours.” In addition to ensuring that all application elements are in place, TrueNorth’s system also tracks and anticipates required training and provides notification of upcoming renewals for driver’s licenses and medical cards long before those requirements are overdue. “Before TrueNorth, compliance tracking was so time–consuming that the process managed us.” Martinez remembers. “Now, we manage the process.”
